Are you interested in maintaining a document, such as a PDF of a utility bill, with each activity record on a set of trackers in Scope 5? A new tracker setting will ensure this happens every time a record is added.
To enable this setting, find the Require documentation checkbox in the Annotation section on the tracker edit form:
When checked, all records added on or after the date when the setting was enabled will require an attachment. Existing records without attachments will remain unchanged but if they are edited they cannot be resaved without adding an attachment at that time.
If a user attempts to load an activity record to a tracker with this setting enabled without uploading an accompanying attachment, the following error message will display to instruct the user to add an attachment:
A similar message is shown in the errors csv download if a user attempts to batch upload records to a tracker with this setting.
Once activity records are saved, a paper icon will display in the tracker ledger to indicate the record is accompanied by an attachment:
Note this icon will display any time a record includes an attachment, regardless of whether the Require attachments setting is enabled.
Activity record attachments can be inspected and downloaded by clicking on the activity record of interest in the tracker ledger:
